Occupied‑Office AV Refresh
High‑Quality Modernisation Delivered with Zero Disruption
Customer Overview
The customer is a global pharmaceutical organisation operating across more than 140 countries, with a large international workforce supporting pharmaceutical, vaccine, and animal health operations. Within its corporate offices, the organisation places strong emphasis on reliability, user experience, and high aesthetic standards for workplace technology environments.
Project Overview
The customer engaged EOS to deliver a comprehensive AV refresh across three floors of an occupied corporate office in Munich, Germany. This included implementing a standardised AV environment aligned with the client’s global technology standards. The project required upgrading 32 meeting rooms within a tightly controlled timeframe while maintaining uninterrupted daily operations. EOS was selected for its ability to deliver high‑quality, standards‑compliant outcomes with flexibility, professionalism, and minimal disruption to end users.
Key Objectives
The client’s strict global AV standards required the project team to deliver a consistently premium user experience across every space, with no deviation permitted. Meeting these standards introduced operational and logistical challenges:
- Completing a full AV refresh across 32 rooms within an occupied office building
- Working within strict time constraints and limited maintenance windows
- Accommodating end users with high aesthetic expectations and low tolerance for disruption
- Managing room access, as spaces could only be taken offline at specific times
- Fully completing each room before moving on, with no allowance for partial handovers
Despite these constraints, the objective remained clear: to modernise the AV environment in full compliance with the client’s global standards while maintaining business continuity and ensuring a seamless, positive end‑user experience throughout.
Solutions
EOS delivered a flexible, highly coordinated AV refresh programme designed to minimise disruption and exceed quality expectations.
Adaptive Scheduling & On‑Site Coordination
EOS structured the project on a floor‑by‑floor basis but remained highly adaptable to schedule changes imposed by the customer. The project manager and lead technician continuously re‑sequenced work, moving between rooms as availability changed, while maintaining overall delivery momentum.
High‑Quality Execution & End‑User Focus
Each room refresh was completed quickly, professionally, and to a high visual standard. No rooms were left in a partially completed state, ensuring that users always returned to fully functional, finished environments. The team prioritised cleanliness, organisation, and user communication throughout the engagement.
Results & Benefits
The project was completed several days ahead of schedule with zero reported client issues. Key outcomes included:
-
- Minimal disruption: All work completed without impacting day‑to‑day operations.
- Exceptional delivery quality: All rooms were fully functional, tested, and visually finished at handover.
- Ahead‑of‑schedule completion: The programme finished earlier than planned despite schedule changes.
- Positive end‑user feedback: Training was completed, e‑waste responsibly collected, and stakeholders expressed high satisfaction.
